Privacy Policy

Effective October 21, 2026 · Updated October 21, 2026 for version 1.0 (build 3)

Pocket Admin IT (“Pocket Admin”) is an iPhone app made by Andrew Gartner. It is designed to collect nothing. Pocket Admin has no accounts, no ads, no analytics and no tracking of any kind, and the developer receives none of your data.

Your data and iCloud sync

Your ticket notes, canned replies, runbooks, checklist progress and scan history are stored on your device using Apple’s SwiftData. If you’re signed in to iCloud and leave Settings ▸ Sync with iCloud on (the default), they are also synced between your devices through your own private iCloud database (Apple CloudKit). That data is stored in your iCloud account under Apple’s Privacy Policy. Only you can access it: the developer can’t see it and runs no servers of its own. Turn sync off, or sign out of iCloud, and everything stays on your iPhone only. Deleting the app removes the on-device copy. Synced data can be removed in iOS Settings ▸ [your name] ▸ iCloud.

Your name (used to fill {me} in canned replies), your Jamf Pro URL and your favorites are stored on your device only. A small summary for the Home Screen widgets (the pinned runbook’s title and progress, and your last saved scan) is shared only with Pocket Admin’s own widget on the same device.

Exports and the clipboard

When you export a runbook or your notes (CSV or text), the file goes only where you choose to share or save it. Copied replies, commands and scan results are placed on your device’s clipboard.

Camera

If you allow it, the camera is used only to scan barcodes, QR codes and serial numbers while the scanner is open. Images are processed on your device and are never recorded, stored or uploaded.

Network tools

The TCP ping / port check and DNS lookup tools connect only to the hosts, ports and domains you enter, and to your device’s configured DNS resolver. The subnet calculator works entirely offline.

Wi‑Fi & device info

Local IP addresses, DNS servers, connection type, device model and iOS version are read on your device and are not sent anywhere. If you tap Look Up Public IP, the app makes a request to api.ipify.org, which sees only the request’s IP address. See ipify for its terms.

Location (Wi‑Fi name only)

iOS shows apps the name of your Wi‑Fi network (SSID) only if they have location permission. Pocket Admin asks for “While Using” location permission only when you tap Show Wi‑Fi Network Name, and uses it only so iOS will return the network name. Pocket Admin never reads, stores or shares your location, and the Wi‑Fi name isn’t stored.

Serial & warranty lookups

Warranty buttons open Apple’s, Dell’s, Lenovo’s or HP’s website in your browser. For Dell, the serial (service tag) is included in the link. For the others it’s copied for you to paste. The Jamf Pro button opens your own Jamf Pro server, at the URL you set, with the serial as the search term. These sites have their own privacy policies. Pocket Admin never signs in to them.

Siri, Shortcuts and widgets

If you use Pocket Admin’s actions in Siri or the Shortcuts app (Check Port, Look Up DNS, Open Runbook, Copy Canned Reply), the request is handled by Apple’s Siri and Shortcuts under Apple’s privacy terms and then run by the app on your device.

MAC vendor lookup

When you look up a MAC address, Pocket Admin may send that MAC address to api.macvendors.com to identify the manufacturer. No other information about you is included. See the MAC Vendors site for its terms.

Tracking

Pocket Admin does not track you across apps or websites, does not use advertising identifiers, and contains no third-party analytics or advertising SDKs.

Children

Pocket Admin does not knowingly collect personal information from anyone, including children.

Changes

If this policy changes, the updated version will be posted on this page with a new effective date.
